BioNexus KC
A unified Salesforce foundation for mission impact
Building a Salesforce Foundation for Mission-Driven Work
BioNexus KC is a Kansas City nonprofit with 25 years of history connecting academia, industry, government, and community partners to advance healthcare innovation.
The KC BioHub anchors that work. This consortium unites more than 100 nonprofits, universities, startups, and government partners around a shared goal: strengthening the region’s biologics and biomanufacturing capabilities. Its members advance everything from research and workforce development to the infrastructure that moves new therapies to market.
Challenges
KC BioHub’s Salesforce NPSP system had grown alongside the organization, and its expanding work called for a more unified approach. The team saw an opportunity to bring program tracking together and make data entry more consistent. Their goal was a single source of truth that staff would embrace and rely on every day.
Key challenges included:
- Fragmented program activity tracking
- No structured consortium member management
- Inconsistent data entry and low adoption
- No single source of truth
Solutions
Fíonta reviewed KC BioHub’s NPSP setup to surface quick wins, identify gaps, and map the system against staff’s real workflows. The organization’s needs in consortium management were clarified, calling for custom development and potentially a document generation integration.
The implementation included:
- Structured discovery and stakeholder sessions
- Centralized program management in Salesforce
- Custom consortium tracking and engagement summary
- Training sessions and collaborative user testing
Results
- Centralized KC BioHub programs in Salesforce
- Built custom consortium management infrastructure
- Drove adoption through training and testing
Project Highlights
-
Centralized Program Tracking
Salesforce now tracks Venture Education, Workforce Development, working groups, committees, and events in one place.
-
Custom Consortium Management
Custom development supports member onboarding, commitments, interactions, employment growth, and impact indicators.
-
Training and Collaborative Testing
Up to three training sessions, Trailhead resources, and staff-led User Acceptance Testing supported adoption.
Project Summary
Fíonta helped BioNexus KC improve its existing Salesforce NPSP environment. After discovery, the team built program management, consortium management, and training support. The work used standard Salesforce features wherever possible to stay sustainable for a small staff.
Outcomes
By the close of the engagement, KC BioHub had a transformed Salesforce environment built around how the organization actually operates. For the first time, staff can see how organizations move through programs, events, and consortium relationships from a single platform, giving them a unified view of constituent and partner engagement. New consortium tracking infrastructure lets the team manage member commitments, monitor regional employment growth, and report on impact indicators, all capabilities the organization now has at its fingertips. Cleaner page layouts, standardized workflows, and targeted training have made the system more usable and set staff on a clear path toward consistent data entry.
The project was intentionally scoped as a minimum viable product, and the solution design and UAT process produced a clear backlog of phase 2 opportunities for KC BioHub to pursue as its needs evolve. With a strong foundation in place, the focus now shifts to adoption. As staff embrace the new workflows and data practices day to day, KC BioHub is well positioned to realize the full value of this investment.
