Experience Cloud implementation for environmental nonprofits

The California Land Stewardship Institute (CLSI) is a nonprofit dedicated to promoting sustainable agricultural practices across California. Through its Fish Friendly Farming and Climate certification programs, CLSI works directly with growers, from vineyard managers to farm operators, to help their practices meet state compliance standards and support the health of California’s waterways and ecosystems. With a lean staff of about seven managing certification work across growers who may oversee anywhere from one to dozens of sites, CLSI needed a partner who could simplify complex processes and build a system to support long-term growth.

Challenges

  • An inherited Salesforce org offered limited visibility into its own configuration.
  • The portal didn’t reflect CLSI’s brand or support self-service.
  • Growers depended on staff for routine status and account updates.
  • Certification renewals required manual, opportunity-by-opportunity work.
  • Salesforce and QuickBooks had no automated connection.

Solutions

  • Salesforce configuration was clarified for long-term maintainability.
  • A new, on-brand Experience Cloud portal was designed and built.
  • Growers gained self-service access to sites, compliance, and invoices.
  • Certification renewals were automated with N8N.
  • A bidirectional Salesforce-QuickBooks sync was established.

Results

  • Automated
certification renewal workflows, freeing staff time for mission-critical work
  • Connected

  • Empowered

Project Highlights

  1. Portal Rebuilt from the Ground Up

Fíonta registered CLSI's Salesforce domain and built a new Experience Cloud portal, giving each grower a personalized, permission-controlled view of their sites, certification status, compliance documentation, and financial balances.

  2. Renewals Automated with N8N

A system of triggers and workflows now initiates certification renewal opportunities automatically as sites approach their annual dates, with CLSI staff simply reviewing and approving before invoicing begins.

  3. Financial Systems Connected

A bidirectional integration replaced a one-directional, manually managed process, so invoices generated in Salesforce and payments made through the portal now sync automatically in both directions.

  4. Ongoing Partnership Established

Following launch, CLSI transitioned into a continued relationship with Fíonta, with ongoing support available as the organization's needs evolve.

Project Summary

Fíonta brought together a project manager, technical lead, UX expert, and web developer to design, build, and launch a fully redesigned Salesforce Experience Cloud portal for CLSI. The engagement paired a grower-facing self-service experience with backend automation, including an N8N-powered renewal workflow and a bidirectional Salesforce-QuickBooks sync, giving CLSI a connected, sustainable system built to grow with its mission.

Outcomes

What once required constant back-and-forth between growers and staff is now entirely self-service. Growers can log in to check the status of their sites, confirm compliance, review financial obligations, and pay invoices directly, without contacting the CLSI team. Meanwhile, staff have reclaimed significant time once spent on manual renewal work, and the bidirectional QuickBooks sync keeps financial records accurate and current without manual reconciliation.

CLSI now has greater clarity and control over its Salesforce environment, with clear visibility into grower compliance, outstanding balances, and upcoming renewals that supports more proactive program management. The organization’s shift from a hands-on, staff-driven process to a modern self-service experience shows what’s possible when a nonprofit partners with a team that understands both the technical and human sides of the work, freeing CLSI to focus its limited resources on supporting growers and protecting California’s waterways for the long term.
