Fíonta partnered with the California Land Stewardship Institute (CLSI) to build a custom Salesforce Experience Cloud portal that gives nonprofit growers self-service access to certification status, compliance documentation, and account balances.
About the Organization
The California Land Stewardship Institute (CLSI) is a nonprofit organization dedicated to promoting sustainable agricultural practices across California. Through its Fish Friendly Farming and Climate certification programs, CLSI works directly with agricultural growers, from vineyard managers to farm operators, to ensure their practices meet state compliance standards and support the health of California’s waterways and ecosystems.
CLSI operates with a lean staff of approximately seven people. For an organization of its size, the scope and complexity of its certification work is substantial: growers may manage anywhere from one to dozens of individual sites, each requiring annual certification renewals, compliance tracking, and associated invoicing. With limited internal IT capacity and everything outsourced, CLSI came to Fíonta needing more than a technical fix. They needed a trusted partner who could simplify their complex processes, improve visibility into their operations, and build a sustainable system to support the organization’s long-term growth and mission.
Challenges
CLSI came to Fíonta with a Salesforce org that had grown and evolved over time, presenting an opportunity to improve visibility and long-term maintainability. Their existing portal experience had room to better reflect CLSI’s brand and support more self-service functionality for growers, who at the time relied on the CLSI team for routine updates on certification status, compliance requirements, and account balances.
The annual certification renewal process, built around manually created Salesforce opportunities for each grower and site, offered a clear opening to introduce automation and free up staff time. Plus, with Salesforce and QuickBooks operating independently, there was a chance to build a more connected financial workflow that would reduce manual reconciliation.
Our Work Together
Fíonta approached this engagement with a cross-functional team, bringing together a project manager, technical lead, user experience expert, and web developer. The team jumped in to design, build, and launch a fully redesigned Salesforce Experience Cloud portal for CLSI.
Designing and Building the Portal
Starting from the ground up, the Fíonta team registered CLSI’s Salesforce domain and built a new Experience Cloud portal that exposed CLSI’s Salesforce data to growers in a clean, intuitive interface. The portal was designed with grower self-sufficiency in mind, giving each grower a personalized, permission-controlled view of their own data. Growers can now:
- View all of their active and inactive sites, as well as which sites are certified or pending certification.
- Access State of California certification resources and compliance documentation directly within the portal.
- See site-level financial balances and individual invoices for services such as farm plan renewals and certification fees.
- Pay outstanding invoices through a secure payment link within the portal, with payments automatically syncing back to Salesforce.
Automating Certification Renewals with N8N
A central pain point for CLSI was the manual effort required to track and initiate annual certification renewals. Fíonta implemented N8N, an automation platform, to create a system of triggers and workflows that eliminate the need for manual opportunity creation. When a site approaches its annual recertification date, the system automatically kicks off an opportunity. The CLSI team reviews these in a report, approves them, and the approved opportunities flow seamlessly into QuickBooks for invoicing.
Establishing a Bidirectional QuickBooks Sync
Fíonta configured a bidirectional integration between Salesforce and QuickBooks, replacing a one-directional, manually managed process. Invoices generated in Salesforce flow to QuickBooks; payments made by growers through the portal sync back automatically. This closed-loop financial workflow means CLSI’s accounting records stay current without manual reconciliation.
Outcomes
The portal launch marked a turning point for CLSI both technically and operationally. What had once required constant back-and-forth between growers and staff is now entirely self-service.
- Growers are now self-sufficient. They can log in, check the status of their sites, confirm compliance, review their financial obligations, and pay invoices without contacting the CLSI team.
- The CLSI team has reclaimed significant time. Manual opportunity creation for certification renewals, previously a burden for a team of seven, is now handled automatically, freeing staff to focus on mission-critical work.
- Financial processes are faster and more accurate. The bidirectional Salesforce–QuickBooks sync ensures that invoices and payments are reflected in both systems in real time, reducing reconciliation effort and the risk of errors.
- CLSI now has greater clarity and control over its Salesforce environment. The team has clear visibility into certification and program data, including grower compliance status, outstanding balances, and upcoming renewals, enabling more proactive and informed program management.
- The partnership continues. Following the portal launch, CLSI transitioned into an ongoing relationship with Fíonta, with continued access to support as their needs evolve.
CLSI’s evolution from a hands-on, staff-driven process to a modern self-service experience shows what’s possible when a nonprofit partners with a team that understands both the technical and human sides of the work. By combining a redesigned Experience Cloud portal with smart automation and a fully connected financial system, Fíonta gave CLSI the tools to operate with more confidence, efficiency, and clarity, so the organization can focus its limited resources on what matters most: supporting growers and protecting California’s waterways for the long term.
