Modernizing Grant Management and Impact Reporting

Family League of Baltimore is a nonprofit intermediary organization that supports the well-being of children and families in Baltimore through strategic investments in education, youth development, and family support services.

By partnering with local organizations, Family League helps deliver impactful programs that create lasting change in underserved communities.

When Family League sought to modernize its grant management and reporting systems, it turned to Fíonta for support. A previous discovery phase with a Salesforce partner had produced a multi-tabbed spreadsheet of general recommendations. While helpful as a starting point, the document lacked the specificity and alignment needed to move forward. Fíonta stepped in to clarify priorities, align technology with operations, and implement a solution designed to evolve with the organization.

Family League needed to bridge its existing grant application tool, Fluxx, with a performance management platform. While they wanted to continue using Fluxx for pre-award activities, the team sought to move grant adjudication and post-award processes into Salesforce. These included verifying partner compliance with reporting requirements tied to disbursements, tracking attendance, and collecting detailed program data. As a first step in a larger digital transformation, Family League chose one youth enrichment program to pilot a scalable solution.

01
Modernize Grant Management

Replace Excel-based processes with Salesforce Nonprofit Success Pack (NPSP) to centralize data and improve grant tracking.

02
Integrate Existing Tools

Connect Fluxx to NPSP to streamline data flow from application to post-award tracking.

03
Enhance Grantee Reporting

Build a secure Experience Cloud portal for grantees to submit baseline data, attendance records, and quarterly deliverables.

04
Aggregate Performance Metrics

Use Salesforce dashboards to visualize program impact across indicators and partners.

Fíonta implemented a tailored solution that met Family League’s needs while laying the groundwork for long-term goals. This included building technical integrations, refined data collection, and user-friendly tools for staff and grantees. The initial scope focused on a single program funding community-based initiatives like STEM bootcamps and athletic camps, with future expansion already in motion.

Experience Cloud Portal

Developed a grantee portal on Salesforce Experience Cloud and FormAssembly to support structured deliverable reporting. Grantees submitted baseline information, attendance data, and quarterly reports that included both qualitative narratives and quantitative metrics.

Deliverable Tracking

Leveraged Salesforce Program Management Module (PMM) and the Outbound Funds Module to monitor reporting compliance and ensure required documentation was submitted prior to disbursements, which were managed in a separate system.

System Integration

Used Workato to connect Fluxx and Salesforce NPSP. Once a grant was awarded in Fluxx, data flows into Salesforce for post-award management.

Data Aggregation and Reporting

Configured Salesforce dashboards to aggregate and display data from across the program and enable informed decision-making.

The new system gave Family League greater visibility into program performance and reduced the reporting burden on staff and partners. With improved data consistency and transparency, the organization now has a scalable model for expanding performance management across its full portfolio.

Streamlining Fundraising for Critical Human Services

Bread for the City (BFC) has worked for over 40 years to provide low-income residents of Washington, DC, with essential goods and services, from food, clothing, and diapers to legal advocacy and medical care. The organization’s two centers serve approximately 31,000 DC residents annually in an atmosphere of dignity and respect. After wrestling with an inadequate legacy solution, BFC needed to move to a system that was easier for staff to use, integrated better with its accounting tool, and offered more robust marketing automation capabilities to fuel donor engagement. Salesforce was already in use elsewhere in the organization, so BFC also decided to harness its powerful functionality for fundraising. Visit website

Supporting Immigrants Rising Through a Pivotal Transition

Helping a mission-driven organization prepare for independence with a sustainable grants management solution Immigrants Rising empowers undocumented young people in the United States to achieve educational and career goals through personal, institutional, and policy transformation. In 2024, the organization began transitioning from being a fiscally-sponsored project of Community Initiatives to becoming an independent 501(c)(3) nonprofit. This transition required Immigrants Rising to build internal systems and processes that its fiscal sponsor had previously managed. One critical area of focus was inbound grant tracking, which had been handled entirely in Excel spreadsheets and now needed to be centralized, reportable, and scalable.
